Instructions

  • This assessment requires you to complete several written tasks. These will be based on a case study. This case study is based on an operational project within a simulated business - Tsunami Group Pty Ltd.
  • You have been provided with a Project Brief for this case study. Additionally, you have been provided with access to Tsunami’s website (intranet). This site contains additional information you will need to complete assessment tasks.
  • Acknowledge any information you have used (websites, books etc.) by referencing the original source.
  • You will be asked to develop project management documents to demonstrate your competency. The documents you develop should be included in the assessment documentation you submit.
  • Before you submit your work please ensure you have clearly named and labelled your documents so that your assessor knows what submissions relate to which questions and tasks. Refer to the Progress Checklist in this assessment kit for how to name your documents.

Project Management templates

In developing project management documents, you can use the PM templates available in myAIM or you can use PM templates from your own workplace.

Your project

To complete the assessment, you will use the supplied case study project (based on the Tsunami Group simulated business) as the basis for your responses. You will need to read the case study before you commence the Assessment Tasks.

Complete the following tasks in relation to this project. Record your answers in this document.

Task 1 Project Initiation & Governance

For the case study project, you have been appointed as the project manager and have been provided with a project brief by the project sponsor (refer to the case study).

  • From this information, and other information you can source from Tsunami’s website, prepare the following Initiation phase documentation
  • Project charter
  • Project governance plan

Within the Governance plan you must identify how each of the following components of the overall project plan will be considered in relation to governance of the whole project.

Scope, Timeline, Resources, Budget, Stakeholder Engagement, Decision Making Process/Approval levels, Communications, Risk, Conflict Management and Knowledge Management.

  • Prepare an email to the project sponsor requesting formal approval of the project charter and project governance plan
  • Describe how you will gain approval from stakeholders of the governance plan. (15-25 words)
  • Within the Project Charter you should have described the project background, its purpose and key deliverables. Describe how this project will contribute to the organisation’s vision, goals, values and strategic direction. (25-50 words)
  • Create a RACI matrix of the roles and responsibilities within the project.
  • Develop an implementation plan to monitor governance, gain stakeholder feedback on governance and to capture any lessons learned.
  • Develop a knowledge management plan(system) to show how you will capture progress, insights and experiences during the project life cycle.
  • How do the delegated project authorities differ from the organisation’s functional authorities (provide at least one example)? What are the implications of this on the stakeholders involved and how the project will be managed? (25-50 words)
  • What project management methodology, framework or approach would you apply to this project, and why? (25-50 words)

Task 2 Project Scope Management

Planning

  • Develop and submit a scope management plan for the project, ensuring that it includes a scope of works, and a scope change process.
  • Develop and submit a WBS for the project.
  • Explain the processes and tools you used to create the scope management plan and WBS. Include details about how you would involve stakeholders, how agreement would be established, and what approvals you would need to sign off on the scope management plan. (50-100 words)
  • Explain the governance considerations that impacted and influenced the development of scope management plan, scope change control process and WBS. (25-50 words)

Implementing and monitoring the scope management plan

During the course of your project the Director of HR advises you that Tsunami has just announced the commencement of negotiations for a new Enterprise Agreement within the Tsunami Group.

She has requested that the staff training and information sessions you are delivering within the retail outlets to brief staff on the new PIFDs, also be used to provide staff with an initial briefing of the Enterprise Bargaining process.

  • Describe the formal change-control processes that apply to this situation (25-50 words)
  • Complete a project scope change request document for approval by the project sponsor, and an accompanying email.
  • Describe the tools you would use to communicate this change, and to whom. (25-50 words)
  • Outline the potential impact of this change on the project (consider any potential schedule, cost, quality, stakeholder engagement or risk impacts) (15-25 words)
  • Update the scope of works and WBS as appropriate

Task 3 Project Risk Management

Planning

  • Develop and submit a risk management plan and risk register for the project, based on Tsunami’s Risk Management Policy available on the website.
  • Explain the processes and tools you used to create the risk management plan. Include details about how you would involve stakeholders, how agreement would be reached and what approvals you need to sign off on the risk management plan. (50-100 words)
  • Explain the governance considerations that impacted and influenced the development of risk management plan. (15-25 words)

Implementing and monitoring risk management plan

During the first few weeks of the project you hear news reports that Australian Customs and Border Protection staff are considering strike action. This is in relation to an ongoing dispute with the government regarding pay and conditions. This may impact the passage of goods through customs, including the PIFDs you will be ordering from overseas.

  • How would you go about analysing this risk? (25-50 words)
  • What is the potential impact of this risk on the project and the risk management plan? (15-25 words)
  • What risk treatments would you consider? (15-25 words)
  • Submit your analysis of the risk and an updated Risk Register containing the risk.

The evidence must include:

  • A risk analysis
  • An updated risk register with the newly identified risk included

Task 4 Stakeholder Meeting

Purpose of assessment

For this assessment you will deliver a presentation and facilitate a meeting on its content. You will be assessed on your interaction and communication skills as well as your contributions to each of the meeting agenda items.

You will give your presentation at an AIM assessment workshop; this will be held online via webinar.

While participating in this assessment workshop you will also be required to act as a stakeholder for the other project managers that will be participating while they give their presentations. You will be assessed on your ability to provide feedback, ask relevant questions, and use appropriate communication.

Please note, your presentation will be recorded for assessment purposes.

Your assessor will be looking to see that you demonstrate:

  • clear communication
  • active listening and questioning to clarify understanding
  • collaboration and co-operation with others to achieve a shared goal

This means that you will need to discuss each agenda item with those present, not just provide your opinion.

  • Create and deliver a 5-10 minute presentation to deliver to the group. Your presentation must cover the following:
  • Essential information about the project including project governance
  • Explanation of the project roles and responsibilities
  • Scope of the project and key considerations you feel are important for your stakeholders to be aware of.
  • Share your scope management plan and WBS
  • Discuss relevant project risks and how they will be managed
    • Following the presentation, facilitate a discussion to elicit feedback.
    • While participating in this assessment workshop you will also be required to act as a stakeholder for the other project managers that will be participating. You will be assessed on your ability to provide feedback, ask relevant questions, and use appropriate communication.
    • Submit the presentation that you prepared.
