Task 2 - Case Study

Part A
You decide to hold a meeting with your team. You would like everyone to get together to brainstorm how to retain memberships that you still have and ideally get some new members too.

  • Question 1:
Develop an agenda for the meeting.
  • Question 2:
How will you contact and confirm the meeting with all staff that are required to attend? (Ensure you follow any required organisational policies and procedures)
  • Question 3:
Send a meeting invitation to all staff. Include in the invitation the agenda and all relevant meeting details, as well as any further information that attendees may need.
You may add a screen shot of your meeting invitation, or type all of the details, below.
  • Question 4:
Identify the minute taker for the meeting and brief them on what you expect from them, including the method of recording meeting notes.
  • Question 5:
Hold the meeting. You are required to chair this meeting according to organisational requirements. You must ensure that you promote participation, discussion, problem solving and resolution of issues.
If you are not able to do this activity in class, you must record your meeting and upload it to Canvas. You may ask family, friends, housemates, colleagues, classmates, or anyone else to participate in your meeting.
You must also upload the minutes that the minute taker took after your briefing (question 4).
  • Question 6:
Review the meeting minutes and edit as required. Upload a copy of your updated minutes. Ensure that it is clear through the file name which meeting minutes have been updated.
  • Question 7:
How will you store the minutes of the meeting and report the outcomes of the meeting?

Part B
Following your meeting with your team, you want to meet with Margaret House, the CEO of Bounce Fitness. You want to discuss the outcome of the meeting that you had with your staff. If any good ideas were raised, you will need her approval to put them into place in your fitness centre. If there were no good ideas, you will need to raise your concerns about the ongoing impact of COVID-19 on your gym.

  • Question 1: How will you invite Margaret to a meeting with you? Create an agenda and send it to her, along with any other required or relevant documentation.
  • Question 2:
Conduct the meeting with her and any relevant team members. You are required to chair this meeting according to organisational requirements.
If you are not able to do this activity in class, you must record your meeting and upload it to Canvas. You may ask family, friends, housemates, colleagues, classmates, or anyone else to participate in your meeting.
You must also take minutes, or request one of your team members take the minutes of the meeting.
  • Question 3:
How will you follow up this meeting?
