Part C – Monitor and evaluate documents against documentation standards
As part of the strategy for evaluating the quality of documents produced against documentation standards, you have asked to see samples of letters from two new employees, John Wayne and Sam Ho.
John has prepared a letter notifying members about the company’s COVID-19 policy. And Sam has prepared a letter for GP Clinics.
Read the two letters provided to you in Appendix I.
You are to examine the documents against the style guide and template approved by the company (as you have prepared in Assessment 2) and write an email providing feedback to John and Sam on the letters they have prepared.
In your feedback email:
- include at least five points of improvement for standards which John and Sam have not met in their letters, such as the logo style, margins, placement, spacing, font type and size, bolded text, preferred wording, etc. (taken from your style guide)
- direct both staff to follow the style guide you have prepared, and attach the style guide to your email
- inform Sam about which template he should use for his letter, and attach the template to your email
- direct both staff to revise their letters based on your feedback and resend them to you
Compose your email with the subject line “Assessment 3, Part C – Feedback on letter samples” and submit your email to your assessor at an email address that will be provided to you.
